Our Storage Services team is hiring a Scheduling Coordinator in the Santa Clara office. The Scheduling Coordinator will be responsible for the administrative needs of the Operations and Maintenance Department at ENGIE Renewables.


In this role, you will work to ensure the performance and longevity of the fleet of deployed battery storage systems. You will provide operational support to contractors, OEM’s, vendors and customers, along with internal teams. The support will come mainly with scheduling, inventory management and billing responsibilities.

What you’ll do:
  • Schedule service visits for contractors and vendors in a timely and professional manner
  • Maintain and update schedule of Field Service Engineers, contractors and OEM’s
  • Update service records of all appointments, reminders and follow-ups on CMMS
  • Respond to service call’s in a timely manner and/or within a specified window
  • Keep open and effective dialogue with the customer or partner as it relates to scheduling updates
  • Coordinate yearly O&M and preventative maintenance services
  • Generate purchase requests and purchase orders
  • Reconcile payments and receipts to various parties on time
  • Set up new vendors on accounting platform
  • Coordinate with vendors and suppliers for spare parts procurement, repair and RMA execution
  • Manage inventory tracking system by recording deliveries, shipments and stock levels.

What you bring:
  • Bachelors degree in the organization's industry, administration or a related field
  • Minimum of 1 year of experience in administration or procurement
  • Ability to perform more than one task at a time and address requests quickly
  • Ability to work in a fast-paced, self-directed, independent atmosphere
  • Experience responding to customer concerns in a professional manner
  • Flexibility to adapt to changing schedules and roles
  • Excellent organizational and planning skills
  • Strong interpersonal and communication skills and exemplifies a strong attention to detail
  • Good decision-making, problem resolution and creative thinking skills
  • Proficient level of computer skills and cloud-based services including Microsoft Onedrive and its suite of applications
  • Comfortable learning new and multiple software platforms
