What you’ll do:

  • Partner with project managers to assist in delivering the reporting requirements for all phases of project development and execution
  • Coordinate and communicate with all project stakeholders, internal and external, and establishes relationships with key communication points of contact among different department personnel, vendors, and client
  • Track and record work orders, change orders, service order, and purchase orders by coordinating with Project Management Advisors
  • Ability to draft and publish all communications related to site safety plans, safety orientations, construction announcements, variety of signage. Coordinates all efforts with necessary team communications contacts
  • Attend project meetings internally/externally, take minutes and gather any information or action items needed for follow up
  • Assist in supplier qualification efforts and provide results to Accounting/Legal.
  • Assist team member to set up and manage projects on Procore, managing the verification of construction daily reports from subcontractors
  • Support Labor Compliance personnel with project related requirement documentation and package and updated LCPtracker for various West Coast projects and multiple Subcontractors
  • Spearhead PPA related documents by collaborating with the project team and ESUS SoCore, AIFA or PPA Group
  • Act as support to subcontractors and liaise on behalf of ENGIE to revise invoices, liens, certificate of insurance that are pending or require revision/updates. Create and submit payment request forms and retention release which impact cashflow and revenue recognition
  • Assist team members to track project closing with either local permitting agencies or the Division of the State Architect (DSA), tracking, collecting and logging all required forms and documents
  • Support project closeout including consolidating documents for the customer, internal binders, collecting final unconditional lien releases from vendors and subcontractors, preparing final completion forms, collecting customer training materials, coordinating the printing and delivery of as-built drawings, and organizing project folders following archiving protocol for projects that are in close-out phases
  • Take inventory of office and kitchen needs, ordering items and working with suppliers, vendors and building management as needed. Responsible for office organization, functionality, appearance and cleanliness
  • Handle all operational related matters such as mail, printer/copier, office keys, snacks, catered lunches, etc.
  • Assist HR and IT to welcome new employees, including set up of their work stations
  • Carries out other duties as assigned by manager

 

What you bring:

Required:

  • High School diploma/G.E.D 
  • 3-5 years of direct experience

Preferred:

  • Bachelor's Degree
  • Field experience interacting with customers
  • Construction background
  • Familiarity with DSA requirements

  • Ability to communicate effectively, both written and verbally
  • Ability to handle multiple assignments on a timely basis with a high degree of accuracy
  • Comfortable managing time-sensitive projects based on order of importance
  • Comfortable speaking publicly, in a large group of new people
  • Ability to use a personal computer, calculator, etc.
  • Could involve some lifting
  • Ability to travel 15% to 20% of the time
  • Occasionally move about inside the office to access file cabinets, office machinery, etc
