Job Purpose/Mission
The Sales Operations Officer oversees day-to-day logistics and administrative operations including fleet management, field stock and asset control, vehicle maintenance, health and safety compliance, and coordination with field agents. The role supports the Agent Relations Officer in agent lifecycle oversight and ensures field teams have the operational tools and infrastructure needed to deliver on sales and collections performance.
Responsibilities
1. Fleet and Vehicle Management
- Oversee company vehicle scheduling and ensure optimal fleet utilization for field coverage.
- Manage vehicle maintenance schedules, service records, and repairs to ensure roadworthiness.
- Track fuel usage, submit requisitions, and monitor consumption patterns to prevent misuse.
- Maintain GPS tracking systems and review driving behavior reports to ensure safety and efficiency.
2. Field Stock and Ordering Oversight
- Forecast and place stock orders based on field demand and sales pipeline.
- Coordinate with warehouse/logistics teams to ensure timely stock delivery to field agents.
- Monitor daily stock movement, returns, and reconciliation against sales reports.
- Flag inconsistencies or losses and escalate to relevant managers for resolution.
3. Agent Oversight Support
- Support the Agent Relations Officer in coordinating onboarding logistics and tools setup.
- Review weekly agent performance dashboards and flag underperformance or operational blockers.
- Coordinate field visits, performance reviews, and feedback forums.
- Ensure all agents have access to sales kits, branded materials, and mobile systems.
4. Health, Safety, and Compliance
- Ensure all staff and agents are oriented on safety policies and field SOPs.
- Track compliance with PPE usage, incident reporting, and company safety guidelines.
- Conduct periodic safety audits and vehicle inspections to reduce operational risk.
- Support ethics training and follow-up on code of conduct breaches in coordination with HR.
5. Reporting and Field Coordination
- Compile weekly operational reports covering fleet, stock, field support issues, and resolutions.
- Escalate operational gaps to management with actionable recommendations.
- Maintain a daily tracker of issues resolved, delays encountered, and emerging risks.
- Support and follow up on leave planning.
- Organize training and onboarding on commercial functions for new staff.
- Serve as a liaison between teams and upper sales management.
- Maintain documentation on sales processes, policies, and provide relevant sales training. materials to assist with onboarding new sales talent by the regional trainers.
Knowledge and Skills
Experience:
- 2-4 years’ experience in field operations, fleet or logistics coordination, preferably in PayGo, telecom, FMCG, or microfinance.
- Experience working with field sales agents and last-mile distribution environments.
- Demonstrated problem-solving and cross-functional coordination skills.
Qualifications:
- Bachelor’s degree in Logistics, Business Administration, Operations, or related field.

- English
- Kiswahili
Technology:
- Knowledge in computer applications (Microsoft Office)
- Strong Excel and digital tools proficiency (e.g., GPS tracking, stock tracking systems, mobile CRMs).
