Job Overview
The role is responsible to oversee and coordinate office facility management, and successful implementation of best practice policies and procedures for Fleet and Fixed Asset Management in ENGIE Energy Access Zambia. The role is responsible for ensuring that the general office space including services centres are in good state of repair and all maintenance works is carried out on schedule. He/she is responsible for working with Line managers to ensure a positive work environment.
Key Responsibilities
Administration
- Create a positive work environment and a positive work experience for employees by ensuring facilities are properly maintained.
- Organize internal events, meetings, and business travel arrangements
- Serve as the main point of contact for maintenance, office improvements, mailing, shopping supplies, equipment, bills and errands
- Ensure statutory regulation compliance at EEA Zambia Head office, service centres and warehouses.
- Oversee the day-to-day operations of the EEA Zambia office including the management of outsourced staff i.e gardeners, cleaners, caterers etc.
- Assist in monitoring, supervising, and ensuring safety measures are incorporated into all business office development.
- Work in collaboration with HSSE team to ensure development and implementation of a business continuity plan.
Facilities Duties
Property Management:
- Supervision of repairs and maintenance of properties
- Management of all lease agreements (ensuring leases are renewed before expiry)
- Supervise all maintenance and repair activities with a regular schedule of maintenance for EEA Zambia properties of operations (including the warehouse) and service centers
- Safeguarding the office, entrusted with overall office security, office keys as well as management of all administrative duties such as hygiene, stationery, and welfare
- Ensure buildings are appropriately inspected and licensed in accordance with local regulations as needed
- Management and monitoring of fixed assets owned or leased by EEA Zambia in all locations ensuring procedures are followed for usage, and disposal of assets.
Projects:
- Management of refurbishment of office space/outlets
- Delivering projects within agreed defined scope/value, time, and budget.
- Oversight of purchasing of equipment such as furniture, fittings, and all equipment/assets
Vendor Management:
- Management of specific third-party suppliers – cleaners, air conditioning, landscaping, and gardening, office equipment, solar equipment
- Management of invoice processing for rentals, applicable utilities
- Supervision of outsourced security guards an act as point of contact for security vendors
Fleet Management:
- Supervise the Transport Coordinator in management of the vehicle fleet at both HQ and in the field to ensure efficient and effective use of all company vehicles in line with ENGIE Energy Access Zambia policies and the Zambia Road Traffic Act
- Oversee field trip bookings and stipends to ensure efficient use of field vehicles and safe travel to and from the field for team members.
- Ensure all ENGIE Energy Access Zambia drivers are defensive driver, first aid and fire marshal trained.
- Ensure effective planned preventative maintenance schedule be put in place for ENGIE Energy Access Zambia fleet
- Exploring, identifying, and tracking areas of savings in Fleet management, including fuel management.
- Ensure appropriate insurance cover is in place; and ensure timely and efficient submission of all necessary documentation for the purpose of insurance claims
- Ensure efficient utilization of company transport and logistics and report all anomalies to the Head of Human Resources and Administration
Required Qualifications and Experience
- Bachelor’s Degree in Business Administration or related Field.
- Minimum of Five (5) years general Office Administration Experience with at least 2 years’ experience in Facilities Management.
- Proficiency in MS Office and MS Excel and general data analysis skills
- Clean valid driver’s license with at least 2 years Driving experience
