Purpose of the Job
We are seeking a highly organised and proactive PA and Team Assistant to support the Renewables Group BU (RGBU) to function smoothly by providing assistance to the Managing Director Renewables - UK & Ireland and to the wider RGBU team
The PA and Team Assistant will be based in London, this is a permanent role working full time Monday to Friday working a minimum 2 days from the office
Key Responsibilities
- General support in diary management
- Manage all travel requirements and submit expenses on behalf of the MD
- Greeting external visitors and booking rooms for meetings
- Documentary support for external events
- Support the team in managing recurring meetings and occasionally the management team in organising ad hoc meetings
- Manage new starters’ operational onboarding
- Process invoices and purchase orders, requesting the appropriate management approvals when needed
- Arrange full itinerary of transportation and hotels for business trips
- Organise team building, forums, social events and town halls when needed
- Organise logistics and agendas for specific occasions
- Support administrative processes for the team such as obtaining signatures or printing documents for meetings
- Support preparation of powerpoint presentations as needed
- Support the team in adhering to H&S requirements, purchasing equipment when needed from DSE assessments through the correct channels
Key Requirements
- Experience in a similar role of supporting Senior Management and a team.
- Experience of working effectively in a team geographically dispersed.
- Experience of supporting the management of an office in an international company(Desirable)
- Effective communicator – written and verbal; can communicate with people at all levels of the organisation
- Proficient in Microsoft Office or related software
