What You Can Expect

As an Executive Assistant for the ENGIE Energy Marketing, North American (EEMNA) business, you will provide administrative support for the Executive Chairman, Chief Executive Officer (CEO), President, and Chief Financial & Risk Officer (CFRO). Specifically, you will be responsible for expense, travel, and organization assignments in support of the above listed leaders.

 

Experience with spend management platforms such as Concur and Coupa is necessary.  You should have experience with Microsoft programs including Calendars, Excel, and PowerPoint. You will be detail oriented, able to work with confidential information, and take initiative and anticipate the needs of the leadership.

 

  • Perform complex and confidential administrative tasks, including those that are sensitive and confidential in nature
  • Coordinate calendars, reserve meeting space and set up meetings involving ENGIE Resources staff, other ENGIE employees, and external business partners
  • Organize and coordinate the facilitation of internal VIP visits from Global Business Unit leadership and North America Executive Committee members
  • Organizes staff meetings, ad-hoc office events and employee offsite
  • Organizes and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Supports field travel for the Chairman, CEO, and President, including conferences, meetings with clients, etc.
  • Coordinate document and contract signatures with local business administrators, distribute mail, and assist with outgoing mail and FedEx
  • Prepare internal and external correspondence using professional writing skills
  • Prepare, update, and distribute:
    • Group organization chart
    • Slide decks for board meetings, all-hands presentations
  • Serve as point of contact for:
    • New office equipment and software
    • Office moves and help organize the sales & marketing teams seating arrangements for in-office staff for hybrid work schedules
    • Coordinate with Accounting and Procurement departments to ensure on-time and accurate payment of vendor invoices
    • Use COUPA to validate invoices against purchase orders
    • Use COUPA to anticipate purchase order expiration and create new purchase orders or modify existing purchase orders as may be appropriate
    • Assist other EEMNA staff in the use of COUPA for setting up purchase orders and tracking expenditures
    • Assist in manually submitting invoices to COUPA for certain vendors

 

 

What You’ll Bring

  • A minimum of a High School degree required
  • A minimum of five (5) years of previous administrative experience with a minimum of two (2) years of experience supporting executive level leadership
  • Expert in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Experience with spend management
  • Excellent organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Proven ability to handle confidential information with discretion be adaptable to various competing demands, and demonstrated the highest level of customer service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Experience in reviewing contracts, working with vendors and coordinating with Legal support
  • Experience in collaboratively developing and implementing administrative work flows and processes
  • Must have the ability to think analytically, present ideas professionally, and work in project teams
  • Proactively collaborate within and across business units
  • Maintain forward progress on multiple work streams and adapt to changing priorities
  • A high degree of proficiency with Microsoft Outlook, Excel, Word and PowerPoint

 

 

Additional Details

  • This role is eligible for our hybrid work policy, working in the office Monday through Thursday and work from home Friday
  • Must be willing and able to comply with all ENGIE ethics and safety policies

 

 

Compensation

Salary Range: $62,400 – $95,450 USD annually

 

This represents the average expected pay range for a qualified candidate.

Actual offered salary may depend on geography, experience, industry knowledge, education, internal pay alignment, or other bona fide factors.

In addition to base pay, this position is eligible for a competitive bonus / incentive plan.
