What You Can Expect

The Document Controls Analyst, Senior will be responsible for establishing and administering standard protocols, systems, tools, and processes used to organize and categorize all documents generated throughout the full life cycle of each project, including operations (technical and administrative documentation).  This position will also work to establish and maintain document management processes across the organization, such as policies, matrices, standard operating procedures (SOPs), and other documents related to business needs.

 

The Senior Document Systems Analyst will oversee the establishment and maintenance of all external data rooms, internal libraries, and document archives. They will categorize and ingest all project documents obtained when the business unit acquires projects. Additionally, this position will ensure seamless integration and exchange of information between existing and new business operating systems that depend on the information contained within project and organization documents (e.g., Radian, Procore, and SharePoint sites).

  • Maintain the day-to-day organization, integrity, and upkeep of ENGIE’s document management system, ensuring strict control over naming conventions, document numbering, file hierarchy, and version control, while preventing duplicate folders and files from entering the system, as well as outdated revisions
  • Contribute to the creation of technical documents and manuals, reviewing and authorizing them for internal or external use
  • Establish, maintain, and control technical and administrative documentation (drawings, contracts, specifications, policies, SOPs, etc.) within the document management system
  • Ensure project document control standards by periodically auditing existing document management systems and procedures, and suggest improvements to enhance productive and efficient searches for the latest versions and accurate information
  • Formally document and routinely communicate digital documentation protocols, standards, and “tricks and tips” to internal and external stakeholders
  • Conduct training for new personnel and provide update training when portfolio-wide enhancements are implemented

 

 

What You’ll Bring

  • Minimum High School diploma/GED or Associate’s degree with a minimum of five (5) years’ experience as Engineering Document Controller specifically with Engineering and Construction documents, technical specifications, and drawings

  • Familiarity with ISO 9001, Continuous Improvement, Lean Manufacturing, and Six Sigma methodology, and understanding of technical terminology
  • Experience using and managing various DMS platforms such as SharePoint, Documentum, OpenText, Citrix Files/ShareFile, Firmex, Dropbox, Box, OneDrive, Microsoft Office applications, or other similar systems
  • Advanced analytical skills to troubleshoot and resolve document management issues, as well as improve document management processes
  • Experience in training staff on document management systems and best practices, along with proficiency in creating clear and concise documentation for processes and procedures
  • Capable of managing multiple document-related projects simultaneously, ensuring timely completion, with super-user level of Teams/SharePoint & advanced level of Excel and SmartSheets proficiencies
  • Self-motivated, detail-oriented individual who thrives in a collaborative team environment with the ability to build strong relationships with both internal and external stakeholders 

 

 

Additional Details

  • This role is eligible for our hybrid work policy  
  • Must be available to travel domestically up to 25% of the time and with the need for some overnight trips
  • Must be willing and able to comply with all ENGIE ethics and safety policies

 

 

Compensation

Salary Range: $74,500 – $114,195 USD annually

 

This represents the average expected pay range for a qualified candidate.

Actual offered salary may depend on geography, experience, industry knowledge, education, internal pay alignment, or other bona fide factors.

In addition to base pay, this position is eligible for a competitive bonus / incentive plan.
