Job Overview

The Facilities Manager at Engie Energy Access Zambia will be responsible for the effective management of the company’s facilities. This includes implementing best practices for fleet and fixed asset management, developing and executing maintenance strategies, and maintaining a comprehensive asset register. The manager will also be responsible for monitoring fuel usage and ensuring that all office spaces including the service centre’s are properly maintained. Key duties will involve identifying, tagging, and coding fixed assets, managing their disposal, and scheduling maintenance for office equipment. These efforts are aimed at optimizing business operations and maximizing value.

 

Facilities Duties

Property Management:

  • Supervision of repairs and maintenance of properties
  • Management of all lease agreements (ensuring leases are renewed before expiry)
  • Supervise all maintenance and repair activities with a regular schedule of maintenance for EEA Zambia properties of operations (including the warehouse) and service centers
  • Safeguarding the office, entrusted with overall office security, office keys as well as management of all administrative duties such as hygiene, stationery, and welfare
  • Management of relationships with landlords and ensuring all rentals and other related bills are paid on time for all locations
  • Ensure buildings are appropriately inspected and licensed in accordance with local regulations as needed
  • Management and monitoring of fixed assets owned or leased by EEA Zambia in all locations ensuring procedures are followed for procurement, usage, and disposal of assets.

Space Usage:

  • Oversight of space usage and management of the fit-out of leased premises in line with business objectives

Projects:

  • Management of refurbishment of office space/outlets
  • Delivering projects within agreed defined scope/value, time, and budget.
  • Oversight of purchasing of equipment such as furniture, fittings, and all equipment/assets

Vendor Management:

  • Management of specific third-party suppliers – cleaners, air conditioning, landscaping, and gardening, office equipment, solar equipment
  • Management of invoice processing for rentals, applicable utilities

Fleet Management:

  • Developing and implementing Facilities Management (specific to fleet) strategies.
  • Manage the vehicle fleet at both HQ and in the field to ensure efficient and effective use of all company vehicles in line with ENGIE Energy Access Zambia policies and the Zambia Road Traffic Act
  • Oversee field trip bookings and stipends to ensure efficient use of field vehicles and safe travel to and from the field for team members.
  • Ensure all ENGIE Energy Access Zambia drivers are defensive driver, first aid and fire marshal trained.
  • Ensure effective planned preventative maintenance schedule be put in place for ENGIE Energy Access Zambia fleet
  • Exploring, identifying, and tracking areas of savings in Fleet management, including fuel management.
  • Achieving efficiency and ensure timely reporting on all fleet management related services. i.e monthly fuel consumption, GPS Tracking reports
  • Ensure appropriate insurance cover is in place; and ensure timely and efficient submission of all necessary documentation for the purpose of insurance claims
  • Ensure efficient utilization of company transport and logistics and report all anomalies to the Human Resources Manager/Head of Human Resources.

Administrative Duties:

  • Serve as the main point of contact for maintenance, office improvements, mailing, shopping supplies, equipment, bills and errands
  • Oversee the day-to-day operations of the EEA Zambia office including the management of outsourced staff i.e gardeners, cleaners, caterers etc.
  • Manage relationships with insurance brokers and ensure all policies, i.e property, GPA, All Risks, GIT, IT equipment etc are up to date and premium charges are paid promptly.
  • Assist in monitoring, supervising, and ensuring safety measures are incorporated into all business office development.

Security Duties:

  • Develop and implement security policies, protocols, and procedures in line with EEA Group guidelines
  • Lead the team of security guards and coordinators to ensure the team is equipped and ready for any emergencies
  • Investigate and resolve any security incidents in partnership with HSE Manager and local authorities when necessary

Experience

  • Degree in any Business-Related Field.
  • Minimum of Five (5) years post qualification experience.
  • Good working knowledge in Facilities, Fleet Management and Fixed Asset Management.
  • First Aid and Fire Marshal training is a plus.
  • Proficiency in MS Office and MS Excel and general data analysis skills
