Job Description – CAFM Administrator
Department:
Operations & Maintenance – Digital Systems / CAFM
Reporting To: Facilities Engineer / CAFM Lead
Location: Yas Island / Abu Dhabi Portfolio
Job Purpose:
To administer the Computer-Aided Facilities Management (CAFM) system to support efficient planning, execution, and reporting of O&M activities. The CAFM Administrator ensures system integrity, timely input of asset data, accurate tracking of PPM/reactive tasks, and supports KPI compliance reporting.
Key Responsibilities:
- Ensure accurate and timely input of asset data, maintenance schedules, and work orders.
- Monitor task completions and service request SLAs to ensure KPI adherence.
- Coordinate with engineers and supervisors to validate feedback and closeout details.
- Generate daily, weekly, and monthly reports on PPM, reactive, backlog, and resource allocation.
- Support the upload and tagging of O&M manuals, floor plans, and asset registers.
- Facilitate CAFM training and provide system support to technical users and subcontractors.
- Conduct data quality audits and resolve system inconsistencies.
- Align system reporting formats with Aldar and ENGIE reporting templates.
- Ensure seamless integration between CAFM and document control workflows.
Skills Required:
- Proficiency in CAFM platforms (e.g. FSI Concept Evolution, Maximo, Planon).
- Strong data management and analytical skills.
- Proficient in Microsoft Excel and dashboard generation.
- Ability to translate operational needs into digital workflows.
- Knowledge of KPI, SLA, and FM operational frameworks.
Qualifications:
- Diploma or Bachelor’s in IT, Engineering, or Facilities Management.
- 3–5 years of experience in CAFM administration or digital FM support.
- Exposure to smart city/IoT integration is an advantage.
Health & Safety:
- Ensure safety compliance data is logged in CAFM (PTWs, incidents, inspections).
- Coordinate with HSE team for system-based reporting on toolbox talks and site audits.
Authority Matrix:
- Authorized to access and modify CAFM task parameters and generate reports.
- Not authorized to alter contract scope or approve work execution without line manager approval.
