As the BD Executive you will be required to support the Business Development Team in the production and coordination of tender proposals, business development opportunities and marketing materials. You will ensure Business Management Systems templates are maintained and available at all times, you will also provide support services on an ad hoc basis for the business development team and oversee coordination and management of the office environment.
Key Responsibilities:
To assist in the development and delivery of all bids and projects, ensuring pre-qualification questionnaires and all tender documentation are completed.
To draft and review bid submission content, ensuring all bids are submitted on time and fully compliant with the requirements.
Ensure all proposals are formatted and comply with company brand guidelines, customer requirements and follow internal quality guidelines.
Analyze the client’s documents to ensure the responses being created respond implicitly to the questions being asked.
Coordinate clarification questions, forward to client and monitor responses.
Creating quality responses which are well-written, accurate, concise and visually engaging and which effectively convey the required message, answering the customer's requirements (including adherence to word counts, presentational requirements and evaluation criteria requirements)
Conducting additional research to supplement bid responses including collation and presentation of relevant data
Identify and re-work existing pre-written content where relevant.
Re-write / edit proposal responses from a variety of subject matter experts.
Execute the following for PQQ / RFIs / RFPs.
Cover Letters to Customer re: submission of tender
Make transmittal notes for tender submission.
Compose e-mails re: attachment to be sent to customer on their request.
Assist in preparing and reviewing the technical aspects of the bid.
Coordinate tender requirements with internal departments including Finance, QHSE, Operations, HR and etc.
Prepare the bid bond and performance bond bank application form, to be processed by Finance department.
Establish and maintain tender proposal templates.
Compile schedule / appendix as per RFP technical submission response.
Print out the schedule / appendix for RFP.
Obtain signature and scan all document for submission.
Coordinate with transport manager for arrangement of transport to deliver RFP etc.
Ensure Acknowledgement transmittal note in returned scan & save as PDF in tender folder in system.
Ensure timely delivery of compliant bids.
Update the following for RFPs / RFIs
Allocate BD reference number in server
Make folder for new tender RFPs in system in J DRIVE.
Ensure RFP document are saved in system tender folder
Document Filing and Administration.
Keep business systems documentation up to date
Skills Required:
General knowledge of facility and energy management methodology
Excellent Microsoft Office Professional skills including PowerPoint and Excel
Must possess excellent writing skills and can understand and write technical concepts.
Strong communication and interpersonal skills
Experience in the bidding environment
Ability to work on own initiative, meet tight deadlines and balance priorities to achieve results
