Position Summary

The HR Specialist supports Tier 1 HR operations and people administration activities for employees across multiple countries (primarily France and Belgium). The role focuses on accurate HR data management, execution of standard HR transactions, and handling routine employee queries through HR systems such as ServiceNow and SuccessFactors. The position ensures high data quality, timely processing, and a positive employee service experience within a shared services environment.


Key Responsibilities

1. HR Operations & Employee Support

  • Respond to employee queries related to HR policies, processes, and systems.
  • Process routine HR requests and transactions in line with defined procedures and SLAs.
  • Prepare standard HR documents such as certificates and administrative letters.
  • Escalate complex or non-routine cases to Tier 2 support when required.

2. People Administration & Data Management

  • Maintain and update employee records in HR systems (e.g., SuccessFactors).
  • Manage personal data updates, employee benefits changes, and lifecycle-related transactions.
  • Register and track work stoppages and absences, including follow-up with relevant authorities (France/Belgium).
  • Ensure accuracy and consistency of HR data in line with established processes.

3. HR Systems & Case Handling

  • Use ServiceNow HRSD and other HR tools to manage employee cases and transactions.
  • Support proper documentation and tracking of HR requests.
  • Assist employees in using self-service HR tools and digital platforms.

4. Compliance & Reporting

  • Ensure compliance with internal HR policies and applicable labor regulations.
  • Maintain confidentiality and integrity of employee data.
  • Support HR reporting, basic analytics, and data quality checks.
  • Contribute to audits and compliance-related activities.

5. Collaboration & Continuous Improvement

  • Collaborate with Tier 2/Tier 3 HR teams for escalations and resolution of cases.
  • Contribute to HR knowledge base updates and documentation.
  • Support improvements in HR processes, tools, and employee experience.

Profile & Requirements

  • 0–2 years of experience in HR operations, personnel administration, or shared services (SSC/BPO).
  • Bachelor’s degree (HR, Business Administration, or related field).
  • Basic understanding of HR processes and administrative workflows.
  • Familiarity with HR systems (ServiceNow, SuccessFactors is a plus).
  • Strong communication and organizational skills.
  • Attention to detail and ability to manage multiple tasks.
  • English proficiency required; French and/or Dutch is an advantage.
