Position Mission: The Administrative Assistant of GBS will provide high-level administrative support to the Head of GBS and Finance. This role is critical in ensuring the smooth operation of the Mexico GBS, which encompasses five service lines: Finance, IT, Procurement, HR, and Real Estate. The Chief Assistant will manage schedules, coordinate meetings, oversee operational tasks, and act as a liaison between the Head of GBS, other service lines and internal stakeholders.

 

Your Impact: As Administrative Assistant, you will have the opportunity to contribute directly to our mission by performing the following key functions

Requirements: To join our team as Administrative Assistant, we are looking for:

Administrative Support:

                    Manage the Head of GBS’s calendar, including scheduling meetings, appointments, and travel arrangements.

                    Prepare and edit e-mails, communications, presentations, and other documents.

                    Handle confidential information with discretion and professionalism.

 

Coordination and Communication:

                    Act as a point of contact between the Head of GBS and internal/external stakeholders.

                    Coordinate and facilitate communication across the five service lines.

                    Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

                    Coordinate the planning and execution of events and visits.

                    Organize Town Hall events and their corresponding presentations

                    Prepare materials for proper and continuous communication (GBS Newsletter, e-mails, etc), in collaboration with HR and Communication departments

 

Project and Operations Management:

                    Assist in the planning and execution of strategic projects and initiatives.

                    Support in the monitoring of project timelines and deliverables, ensuring that deadlines are met.

                    Collaborate with service line leaders to ensure alignment and progress on key projects.

                    Assist in the preparation of reports, dashboards, and performance metrics.

 

Liaison and Representation:

                    Represent the Head of GBS and Finance in meetings and events as required.

                    Build and maintain strong relationships with key stakeholders, both internally and externally.

                    Ensure the Head of GBS and Finance is well-informed and prepared for all engagements.

 

Operation support

                    Support the Service Lines on the execution and management of general procurement process in SAP (purchase requests, good receipt, and general questions)

 

 

 

 

 

·       Education and Experience: Bachelor's degree in Business Administration, Management, or a related field. A Master's degree is a plus.

 

  • Technical Skills: 

-       Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Outlook).

-       Project management knowledge

-       Ability to handle sensitive information with confidentiality and discretion.

 

  • Key Competencies: 

-       Communication: Excellent verbal and written communication skills.

-       Teamwork: Strong ability to work collaboratively in a diverse, international team. Adaptable to different working styles and cultures.

-       Attention to Detail: Meticulous and thorough in completing tasks and ensuring accuracy.

-       Customer Focus: Strong customer service orientation. Commitment to understanding and meeting the needs of internal clients.

-       Time Management: Efficient time management and multitasking skills. Ability to prioritize tasks and manage workload effectively in a fast-paced environment.

-       Adaptability: Flexible and able to adapt to changing circumstances and requirements. Eager to learn and stay updated with new technologies and processes.

-       Proactive: Takes initiative and anticipates the needs of the Head of GBS and Finance.

 

·       Languages: Fluent in English (written and spoken)

 

  • What Will Make You Stand Out: 

-        Minimum of 3 years of experience in an executive assistant or similar role, preferably within a GBS or corporate environment.

-        Experience in the Shared Service Center environment is a plus

-        Proven experience in managing multiple priorities and working in a fast-paced environment.
