This information notice ("Notice") informs you about the Processing of your Personal Data collected/required to connect to and use the ENGIE Candidate Portal whether for :
(i) creating your user account used to store your application data and/or
(ii) applying for a specific job opening in an Entity that belongs to the ENGIE Group
This Notice considers the rights and obligations set forth in the EU General Data Protection Regulation (Regulation (EU) 2016/679, “GDPR”) and the French Data Protection Act in its current version.
1. Data Controller
The Data Controller is the ENGIE legal entity indicated in the specific job offer to which you are applying..
2. Purposes for which your data is collected and processed
The Entity has implemented this data-processing for the following purposes:
- Allow you, as a potential candidate, to create an account, fill in their profile and share their CV.
- Allow you as a candidate to apply for a job posted by an entity belonging to the ENGIE Group,
- Allow the management of your applications by recruiters: CV and application information transmission and storage, contact with recruiters’ management, job interviews…
- Allow the automation of the identifying and selecting candidates process (sourcing process)
- Enable you, as a candidate, , with your consent and according to your preferences described below (see "Who can access your data?"), to join the pool of candidates used by ENGIE to promote its offers.
- Allow you to subscribe to the publication of other ENGIE job offers
- Allow you to subscribe to the ENGIE newsletter
3. Legal basis for the collection of your personal
Your Personal Data is collected on the basis of the following legal grounds:
- Legitimate interest of the Entity to allow you as a potential candidate to create an account and fill out your profile
- Execution of pre-contractual measures when ENGIE allows you as a candidate to apply for a job offer published by an entity belonging to the ENGIE Group, for the management of your applications by recruiters (transmission and conservation of the CV and elements of the application, organization of exchanges with recruiters, job interviews…), the analysis of applications and the evaluation of candidates and finally the automation of the process of identification and selection of candidates.
- Consent : Your specific consent to allow you to integrate a CV database, have the possibility to be contacted for job offers according to your visibility choice, subscribe to the publication of other job offers from ENGIE and subscribe to the ENGIE newsletter.
By submitting your application, you declare that your Personal Data is true, accurate, complete and not misleading. In addition, you authorise the Data Controller to take all reasonable steps to verify the Personal Data provided by you at any time during the application and selection process where this is permitted within the local legal context.
4. Data categories collected
In order to process your application and carry out the recruitment process, only the personal information strictly necessary to assess your suitability for the position offered or to measure your professional skills will be requested during the selection phase.
The categories of Personal Data collected in the context of this Processing are as follows:
- civil status (name, surname,..) ;
- personal information (telephone number, address,..) ;
- training/education (degree, credential and dates) ;
- professional experience (position and job occupied,..) ;
- other information contained in your CV (when provided)
- characteristics of the position sought by the candidate ;
- application submission (sourcing, , spontaneous application,..)
- results of tests carried out as part of the recruitment process (technical skill evaluation, English test,..);
- general assessment of the suitability of the application for the position to be filled,
5. Retention period of your personal data
Data relating to your candidate account is kept for 12 months after the last connection to your account.
Data relating to application management and assessment of suitability for the job are kept for 12 months after the end of the recruitment process for unsuccessful candidates.
6. Who can access your data?
Your data will only be used by the relevant ENGIE administrative and recruiting services.
Your data can also be accessed by some ENGIE Information and Technology (ENGIE IT) employees and its subcontractors (ACCENTURE, TEXTKERNEL, SAP) as part of their mission to maintain the application. Access to your data will be based on the “need to know” principle.
While creating your account in the ENGIE Candidate Portal, you will have the possibility to choose the visibility level of your data amongst the 3 following options :
Option 1 : Only recruiters managing jobs I apply to (ENGIE recruiters can only see your profile when they are involved in the job(s) you applied to and will not be able to approach you for other job opportunities)
Option 2 : Only recruiters managing jobs of an ENGIE Company in your country / region of residence (ENGIE recruiters managing jobs that are located in the same country as of your current country of residence can potentially see your profile and approach you for other job opportunities).
Option 3 : All recruiters managing jobs of all ENGIE companies worldwide (all recruiters within ENGIE can potentially see your profile and approach you for other job opportunities).
You will have the possibility to change that option by yourself, anytime, by accessing your Candidate Profile in the ENGIE Candidate Portal.
7. Transfers of your data outside the European Union
Your data is stored in the European Union. It may be transferred outside the European Union, in particular to Engie IT subcontractors as part of their mission to maintain the application in India.
Access to your personal data by the various entities of the ENGIE group is covered by Binding Corporate Rules (BCR).
The following guarantees have been taken to ensure the appropriate level of protection for these transfers: signature of standard contractual clauses validated by the European Commission.
8. Automated candidate sourcing (identification and selection process)
In the context of its recruitment activities, ENGIE uses TextKernel to help recruiters efficiently and objectively find the most qualified and suitable candidates for a position.
Your application will be automatically processed by TextKernel to identify your skills and professional experience in the form of keywords.
TextKernel employs algorithms to sort your application based on their relevance to the search criteria set by the recruiter (skills, professional experience,..). Your application will be classified by Textkernel according to the keywords identified by the recruiter for the position he or she is looking to fill.
Your application will be classified by Textkernel against the key search terms identified by the recruiter for the relevant position which they are looking to fill.
The recruiter will then analyse the list of candidates suggested by TextKernel and decide who will be retained for the rest of the recruitment process.
You can request further information on the underlying logic, the process and its impacts by making your request to the data controller as indicated in section 9. Exercising your rights
You have the right to contest the automate decision and also the right to request a human review in order to obtain a re-examination of your situation and/or an explanation of the decision taken or to contest it within one month of receiving the recruiter's decision not to continue the recruitment process.
This right does not prevent you from exercising the rights mentioned in point 9 below.
9. Access rights
In accordance with the applicable regulations, you can exercise your rights to access, rectify or delete your data. You also have the right of objection, limitation and portability of your data.
To exercise your rights, you are invited to send your request here. A proof of your identity (such as a copy of an identity card) could be asked by the Data Controller
ENGIE has appointed a Personal Data Protection Officer, whom you can also contact to exercise your rights at dpo@engie.com.
If you feel, after contacting us, that your rights are not being respected, you can file a complaint with your country's data protection authority, whose contact information is available here (https://ec.europa.eu/justice/article-29/structure/data-protection-authorities/index_en.htm).
